Last minute coverage is very stressful for the admin.
Please remember: Kids cry when it is not you at the lesson. 💔
Please try to make it to all of your shifts. Cancelling lessons compromises the business’ reputation.
Plan social events around your Swim Fins schedule.
Stay healthy by avoiding holding hands with kids, not letting them sneeze in your face, getting lots of rest, eating healthy, etc.
Days booked off in advance (or days needed for school/important life events) will still be honored.
Help your fellow Swim Fins coaches by taking subbing shifts (especially last minute subbing).
We only cover coaches for:
Pre-arranged vacations that you included in your availability.
Family emergencies.
Extreme illness, such as flu.
Exams.
Spread the word: if you know of any swim coaches, have them apply. You can receive a $200 Amazon gift card for every successful candidate hired.
Coverage is only approved for extreme sickness, emergencies, exams during your shift, and unavoidable school conflicts.
Update your phone contact info for both Clo and the office line to say “Must Call in Sick to Both.”
ALL COVERAGE: Text BOTH Clo’s personal line and the office line together in a group text. This applies to all coverage needed, whether it’s for an upcoming exam, a family emergency, or you are suddenly sick.
Give as much notice as possible. Even if you start feeling sick and don’t work for a couple of days, and you think you may recover in time, tell us as we can get someone on back up for you.
Same-day coverage is nearly impossible. If we are not provided with at least 24 hours’ notice about your illness before your shift, you may be required to start your shift until we can find a sub to take over for you.
If you are not feeling well, please consider:
Attending your shift, and coaching from the pool deck. Only go in the pool for furthest swims, use the learning boards, do more dry land, etc. It’s important you still get in the pool for a few minutes of each class.
Work a portion of your shift (we could explore cancelling your last few classes to get you home earlier).
We respect your decision if you feel you cannot manage either of the two options above.
Please take good care of yourselves to ensure that you do not need to miss any shifts.
When you are not at your shift, your sub is your representative. Providing them everything they need to teach for you is essential to a successful subbing shift, and will ensure that your students enjoy the lesson while you’re away. If someone is subbing for you, ensure the following:
You email your sub and CC the office (so we know they got it). Your email should include:
Where to find your binder at the pool with complete Open House Lesson Plans for all classes.
Information about any tricky classes, kids, or parents.
If your binder is not at the pool, you must include pictures of your OH LP attached to the email for your sub to reference.
If you know you are going to be away ahead of time, tell your kids and their parents the week before that you have a prior commitment, but not to worry as you’ve made sure your sub will have all your lesson plans and notes to put on a great lesson.

You’re the super fun substitute, so make sure the kids have a good time! Everyone loves getting a fun sub at school, and swimming is no different!🪅
Fun aside, ensure you are using the proper lesson plans, as provided by the original coach, and follow them as they are laid out so the kids are ready for open house.

We all know that 💩happens and sometimes you wake up too sick to work your shift in two hours. These are the situations where we are counting on coaches who have said they’re available to sub at certain times, so please keep your ringers on.
