Your binders will be at the pools in a blue IKEA bag by Fri, Jan 2 at the latest. Pick any binder you want.
If you work at more than one school, start a binder at each school. This makes it easier for you and us.
Leave your binder at the pool as much as possible in case there is an emergency, and we need the parents’ contact information.
⚠️Never contact parents on your personal phone unless you are running late to your shift. See the Running Late Procedure for more information. Otherwise, all communication outside of class goes through the office.
All paperwork can be found in the black filing bin (paperwork bin) in the dry bins. You can also find it here to print off if needed.
We do provide parents with all the paperwork they need for their first lesson, but many forget to print it and bring it with them.
Ensure the lid is put back on the filing bin every time you use it so the paperwork stays in good condition.
There are extra Info Pages in the bin if the Information Page binder runs out (please don’t use them otherwise).
Every client (returning and brand new) must fill out a new information page. They contain important information about your student’s:
Age
Swim level
Grade
Parental philosophy, etc.
Bring the Information Page binder to the front door when you welcome your class in as most parents forget to bring it.
Bring toys with you to keep any young children occupied while their parents fill it out.
If it is a returning student: check their report card online in the Coach Portal for their level. If they are a brand new student, assess them using our curriculum.
All info pages go into your binder (not the clipboard).
Info pages are proprietary to Swim Fins and contain personal information, so please keep them safe with your Open House Lesson Plans at the pool. This also ensures any subs have what they need.
These are required for parents to enter the pool area. They must fill out a participant waiver if they are:
Coming onto the pool deck.
Coming into the pool for a Parent & Tot (P&T) lesson.
If a parent shows up and does not have the Participant Waiver filled out with them, there are extra forms in the paperwork bin.
Store the waiver in your binder with their child's info page.
